A useful equipment log answers three questions without a phone call: where is the item, who has it, and can it go back to work? Start with a short record that the person handing over the tool can update at the handoff.

The free CSV above is a spreadsheet starter, not a required software import format. Open it in your spreadsheet app, replace the example, and keep one shared copy. Give every physical item its own ID even when several items are the same model.

Checklist

  • Give each item a unique label.
  • Record a holder at every checkout.
  • Check condition on return.
  • Keep damaged equipment out of the available queue.
  • Assign someone to review missing returns and due service.

Choose fields that describe the actual handoff

Record the item ID, name, serial number if available, usual location, person taking it, checkout time and expected return. At return, record the time and condition. Keep the service due date separate from the promised return date: returning a tool does not mean it has been serviced.

  • Use a stable label such as DRILL-014, not a row number that changes when you sort.
  • Identify a person as the current holder; a department name makes missing items harder to trace.
  • Record damage or missing accessories before the next checkout.

Example: two drills moving between crews

Suppose Maya takes DRILL-014 to the north site and Luis takes DRILL-015 to the workshop. They are identical drills, but they need separate records. When Maya returns hers with a damaged cable, record the return and take that item out of service. Do not mark both drills unavailable or leave the damaged one looking ready.

If a return time changes, update the plan. Do not overwrite the original checkout time. A spreadsheet can keep one row per handoff, with a separate current-equipment list for the latest holder and service status.

Put the log where the tools change hands

Have one place for the shared file and one clear person responsible for correcting missing entries. Review overdue returns and service dates before assigning the next day’s equipment. A weekly reconciliation is easier when the physical labels match the record IDs.

Set maintenance intervals from the manufacturer’s instructions and your operating requirements. The starter sheet does not prescribe a safe interval, certify an inspection or decide whether damaged equipment can return to use.

When a shared workspace is worth it

A spreadsheet works when a small crew reliably updates it. Software becomes useful when several people edit at once, staff need a phone-friendly checkout screen, or you need a service history tied to each item.

SYSTALOG Equipment Maintenance records holders, checkout and return events, service history and due dates. It includes printable QR labels, CSV export and an assistant that previews proposed record changes for approval. A QR label opens the record; it does not locate the tool automatically.

Questions teams ask

Does this sheet import directly into Equipment Maintenance?

It is a general spreadsheet template. Use the fields and import options shown in the product if you later move records into SYSTALOG; do not assume checkout-history rows can be imported as equipment records.

Can a QR label track a tool’s location?

The label provides a quick way to open its record. Location and custody come from recorded updates, not GPS tracking.

Outgrowing the spreadsheet?

SYSTALOG business software keeps this record in one shared app instead of a spreadsheet passed around by email. Seats start at $10 per person per month, get cheaper as the team grows, and guests are free.
