How Equipment Maintenance works

You need to know where the tool is, who checked it out and whether it is due for service. A shared register gives the next person the same record.

Add equipment form with name, location, serial number, next service date and repeat interval
Adding a tool: location, serial number and when it is next due for service.

Example: a pressure washer out with the crew

The 3200 PSI pressure washer (S/N PW-2216) is checked out to the North crew from Van 02, and anyone can see that without calling the crew. The carpet extractor is marked out of service so nobody takes it to a job by mistake. The floor scrubber is two days overdue; logging its service records the work, and its 30-day interval suggests the next date. Each item can have a printed QR label your team scans.

Names and dates are sample data.

What Equipment Maintenance covers

In the workspace

  • Equipment register, search and due-date views
  • Checkout, return and out-of-service status
  • Dated service history and QR labels
  • CSV export and chat-assisted changes with approval

A good fit when

  • Tools move between vans, crews and sites
  • Service dates live in one person's head or a paper log
  • A missing or broken tool has stopped a job before

What it does not do

Use the manufacturer’s instructions and your approved maintenance schedule. The assistant does not invent intervals, serial numbers or completed service. Meter-based scheduling and parts purchasing are not in the initial release.

Equipment Maintenance questions

Who needs a paid seat in Equipment Maintenance?

Each person who checks tools out, records returns or logs completed service uses a seat.

Does it schedule service by hours or mileage?

Not yet. Meter-based scheduling and parts purchasing are not in the initial release. Service dates come from the manufacturer's instructions and your approved schedule.

Can an assistant make changes for me?

Yes, in supported workspaces. Ask in plain words and the assistant prepares the change. You see exactly what will change and approve it first, and your normal permissions still apply. Each plan includes an AI allowance; everything still works by hand when it runs out.

Do I need a SYSTALOG website to use these?

No. Every product except Website Follow-up works on its own. Website Follow-up comes included with a published SYSTALOG website.

Can I buy the software outright?

Request a scoped buyout quote. The quote defines the software, license and handoff. Ongoing hosting, provider usage and support are separate; a buyout does not promise unlimited services forever.
