AI-Powered K9 Training Records

AI-powered K9 training records:
historical import, smart summaries, and document parsing

Stop retyping years of paper records into a database. SYSTALOG uses Gemini 2.5 Flash to extract structured training data from scanned forms, spreadsheets, and vet documents — with confidence scores, per-aide breakdowns, and a full review workflow before anything is saved.

The Problem

Years of paper records. No way to search them.

Most K9 teams have years — sometimes decades — of training records locked in paper log books, scanned PDFs, shared spreadsheets, and handwritten forms. When a new handler joins, a certification review comes due, or a court request surfaces, someone has to dig through filing cabinets and retype everything into whatever system the team currently uses.

Vet paperwork presents the same bottleneck. Vaccination cards, health certificates, and treatment records arrive on paper. Manually transcribing them into a database is slow, error-prone, and nobody wants to do it.

Manual retyping of hundreds of historical sessions
Vet records transcribed by hand into spreadsheets
No structured search across paper archives
Inconsistent formatting from different handlers and eras

AI Capabilities

Four AI features built into K9 Manager

Each feature is optional, scoped to your agency, and runs through a server-side proxy.

Historical record import

Upload scanned forms, spreadsheets, or log sheets. AI extracts structured records including multi-aide details with individual plant times, detection times, and cert-eligible flags.

AI training summaries

Generate concise summaries from session data for command briefings, readiness reviews, and monthly reports. Each summary links to its source training records.

Vaccination report parsing

Upload vet records and vaccination documents as PDFs or images. AI auto-populates K9 health and vaccination records, reducing manual data entry from vet paperwork.

AI-assisted data entry

Context-aware field suggestions during session logging reduce repetitive typing for common scenarios, handlers, and training types.

Feature Deep Dive

Historical record import

Upload scanned training forms, spreadsheets, or log sheets. The AI extracts structured records, shows confidence scores, and lets you review every field before saving.

STEP 01

Upload source document

Upload scanned training forms, spreadsheets, log sheets, or photos. The system accepts PDF, image, and spreadsheet formats.

STEP 02

AI extraction with Gemini 2.5 Flash

Gemini 2.5 Flash parses multi-row documents and extracts structured training records: date, dog, handler, training type, result, duration, location, weather, and blind/double-blind status.

STEP 03

Multi-aide extraction

When a session includes multiple odors, each aide is extracted individually: plant time, detection time, result, weight, height, container, placement location, and cert-eligible flag.

STEP 04

Review and approve

Every extracted record displays a confidence score and any warnings. You review, edit, and approve each record before it enters the system.

STEP 05

Records saved with audit link

Approved records are flagged as "imported" to distinguish them from manual entries. A link to the source document is retained for the full audit trail.

Multi-Aide Extraction

Per-odor detail from a single session

Detection training sessions often involve multiple odor aids planted in one scenario. A narcotics search might have cocaine, methamphetamine, and heroin in different locations with different containers and weights. The AI extracts each aide as a separate record with its own plant time, detection time, and certification eligibility.

This means a single imported document can produce multiple structured aide records, all linked to the same parent session — giving you the granular data needed for certification tracking and performance analysis without any manual splitting.

Weight, height, and container type captured separately
Placement location logged for each hide
Cert-eligible flag auto-set based on configuration rules

Example AI summary

Week of June 12–18, 2023: K9 Rex completed 8 narcotics detection sessions across 4 training days under Ofc. Martinez. Total hides: 24. Alert rate: 92% (22/24). Two clean runs on methamphetamine in vehicle searches — both flagged for remedial training. Average detection time: 1 min 42 sec. All sessions conducted during daylight hours in ambient temperatures 72–84 degrees F.

Linked to 8 source training records. Available in audit trail and compliance exports.

Training Summaries

AI-generated summaries for command briefings

Command staff need operational overviews, not raw data dumps. AI training summaries synthesize session records into concise, human-readable briefings that cover alert rates, detection times, training gaps, and environmental conditions — all linked to their source records for verification.

Summarize by dog, handler, date range, or training type
Include alert rates, detection times, and gap identification
Surface environmental conditions from session metadata
Linked to source records for full traceability
Available in audit trail and compliance report exports

Health Records

Vaccination report parsing

Vet records arrive on paper cards, printed PDFs, or clinic printouts. Each document contains vaccine names, dates administered, booster schedules, and clinic information. Manually transcribing these into a database is tedious and error-prone.

Upload vaccination documents and the AI auto-populates the K9 health record: vaccine type, administration date, administering vet or clinic, booster due date, and lot number when available. Review each extracted field and approve.

Accepts PDF and image formats from vet clinics
Extracts vaccine type, date, clinic, and booster schedule
Auto-populates K9 health record with extracted data
Review workflow before data is committed
Maintains link to source document for audit

Data Entry

Context-aware suggestions during session logging

When handlers log training sessions, common fields like training type, location, weather conditions, and outcome type often repeat. AI-assisted data entry provides contextual suggestions based on the handler's recent sessions and team-wide patterns — reducing repetitive typing without removing control from the handler.

Recent context

Suggestions based on the handler's last 10 sessions.

Team patterns

Common locations and types used across the agency.

Handler selects

Suggestions are optional — handler always picks what's accurate.

Security & Privacy

Built for agency-grade data handling

Law enforcement and security K9 teams handle sensitive operational data. Every AI feature is designed so that nothing leaves your control.

Server-side API proxy

The Gemini API key is stored server-side and never exposed to the client browser. All AI calls route through a secure Vercel serverless function.

Multi-tenant agency isolation

Every database query is scoped to agency_id. No data is shared between agencies, and each tenant operates in complete isolation.

Low-temperature extraction

Gemini 2.5 Flash runs at temperature 0.2 for consistent, deterministic extraction. You get the same output for the same input, every time.

Entirely optional

AI features are opt-in. Teams can use the full SYSTALOG K9 platform for training logs, certification tracking, and reporting without ever touching an AI feature.
