Profile changes, status updates, assignment transfers
Every data change across your entire K9 operation — who made it, what changed, when it happened, and what it looked like before. Record locking chains, inventory custody logging, and training log integrity in one system. $10/seat/month.
Why It Matters
Without a verifiable record of every change, your unit is exposed to legal challenges, supervision gaps, and compliance failures.
Defense attorneys challenge K9 evidence by attacking record reliability. A complete audit trail proves who entered data, when, and whether anything was changed after the fact.
When a training dispute or use-of-force review surfaces, leadership needs a verifiable chain of custody for every record — not verbal assurances.
Internal affairs reviews often center on whether training records were altered or fabricated. Immutable audit logs provide the factual record these reviews require.
Agency auditors, accreditation bodies, and funding sources all ask the same question: can you prove this data has not been tampered with?

Record Locking Chain
Training records follow a three-step signing chain. Once locked, no edits are permitted without a tracked unlock event.
Creates and signs the training record
Reviews session details and stamps approval
Signs off — record is locked
No further edits without unlock event
If a locked record needs to be modified, the unlock action itself is logged — who requested it, why, and when. If the record is re-locked after the change, that event is captured too.

2026-04-03 10:00:00Handler identified factual error in narcotics count — corrected from 3 to 4
2026-04-01 08:22:00Inventory Chain of Custody
Narcotics, explosives, and training aids — every custody action is logged with who performed it, what happened, and when. Essential for compliance and legal accountability.
New inventory item entered into the system with initial weight, lot number, and storage location.
Measured weight change logged after each use — tracked against initial amount for reconciliation.
Custody handed off between handlers or locations — both parties confirmed with timestamps.
Controlled substance destruction logged with witness names, method, and authorization reference.
Automatically flagged when shelf life passes — removal and disposal workflow triggered.
Per-training-session consumption logged with dog ID, scenario type, and handler performing the action.
Training Log Integrity
When you migrate historical training data into the system, every record carries a permanent provenance trail. Source documents, AI summaries, and the full edit history are locked to each entry.
Import flag preserved
Historical records imported into the system carry a permanent "imported" designation so reviewers can distinguish original data from app-generated entries.
Source document retained
Every imported record links to the original source document URL — scanned PDFs, spreadsheets, or legacy system exports.
AI summary preserved
If an AI-generated summary was created at import time, that summary is locked to the record and preserved across every edit.
Full edit history
Every modification to an imported record — no matter how small — is logged with who made the change, what field changed, and the before and after values.
